Welcome to the Fareclock Worker Data Page!

Fareclock is an SaaS workforce management platform used by your employer to manage time, attendance, scheduling, and related workforce HR functions. Your employer controls your employment data, and Fareclock securely processes that data on their behalf.

This page provides a clear, worker-focused overview of (1) What work-related data is collected, (2) When and how that data is collected, (3) Who can access it, (4) How long it is retained, (5) How it is protected, and (6) Your rights regarding your personal data.

Fareclock does not access your personal files, communications, or unrelated device content. Features such as location tracking or facial recognition are enabled only if your employer chooses to use them, and access to your data is restricted through strict security controls.

About the Service

  • What is Fareclock, and how does it handle worker data? Fareclock is a cloud-based SaaS workforce management platform used by your employer to manage time, attendance, scheduling, and related workforce HR functions.
  • Who controls the data collected about me — my employer or Fareclock? Your employer owns and manages your work data; Fareclock is the system service platform that stores and processes it on their behalf.
  • Is Fareclock mandatory for my job? Yes, if your employer requires it for use.
  • Can I access Fareclock from personal devices or only employer-provided devices? Access depends on your employer’s configurations and policies; some allow personal devices, others set up shared devices or kiosks that are provided by the employer.
  • Can I review the Fareclock Privacy Policy from within the app? No, the Privacy Policy is not available for review within the Fareclock app.

Time Tracking & Attendance

  • What time and attendance information does Fareclock collect? Fareclock collects work-related information such as identity details, contact information, employment data, clock-in and clock-out records, and attendance activity; for a complete list of data categories, please refer to our Privacy Policy.
  • Who can see my clock-in and clock-out records? Only authorized supervisors and administrators at your company can view your time records.
  • Can I correct or update my time entries if there’s a mistake? You can submit missed punch requests through the Fareclock mobile app; other time entry corrections should be communicated to your manager for proper revision and update.
  • How long is my time and attendance data retained? If your employer cancels their Fareclock subscription, your associated data is permanently deleted 30 days after account deactivation, unless a longer retention period is required or permitted by law.
  • Are my breaks and overtime tracked? Yes, Fareclock can track work breaks and shift extensions when enabled by your employer.
  • Can I see a report of my own work hours? Yes, you can access your work-hour records within the Fareclock mobile application. Click on Reports > Total Tallies.
  • Can supervisors edit my time entries? Yes, only authorized supervisors or administrators can make edits on your worker time card entries via the organization console.
  • Are shift changes or swaps logged? Fareclock does not currently support shift swaps. To ensure schedule changes are properly documented, please file leaves and communicate any changes directly with your manager.
  • Can I download or export my time-tracking history? No, exporting time-tracking data is not available, but you can view your punches and total work hours in the Punch History or Total Tallies within the Fareclock mobile app.

Location & Geolocation

  • Does Fareclock track my location? Yes, optionally. Fareclock may collect location data if your organization enables location features in the app.
  • Does Fareclock record work location along with time entries? Yes, when location services are turned on, Fareclock captures and records your location with your clock-in and clock-out entries via the Fareclock mobile application.
  • When is location data collected? At clock-in and clock-out. If live location tracking is enabled, location may be recorded throughout your shift.
  • Is app location access required for clock-ins? Yes, if your employer has enabled location-based clock-ins. If live location tracking is turned on, location may be recorded throughout the shift. If location tracking is disabled, your employer may require alternative verification methods.
  • What types of geolocation tracking does Fareclock support? Primarily GPS via the mobile app. Administrators can also set up geo-fencing on the organization console.
  • Can I disable location tracking on my device? Yes, through your device settings, but functionality may be limited if your organization requires location for clock-in and clock-out.
  • Who has access to my location data? Only authorized organization administrators. Fareclock does not share location data with third parties.
  • How long is my location data retained? Stored while your account is active and associated with shifts. Deleted after organization account closure or upon administrator deletion, following standard retention schedules.
  • Is location tracking optional or required? Optional, depending on whether your organization enables the feature.
  • How accurate is the location data collected? Location data is recorded using latitude and longitude values based on your device’s GPS to provide accurate positioning.
  • Can I see the location data that Fareclock collects about me? Yes, you can view your collected location data by checking your punch history in the Fareclock app.
  • Can location data be deleted independently of my account? No, location data tied to clock-ins or clock-outs cannot be deleted independently, as it is required for security and attendance records; punches may be rejected but the associated location information is retained.

Biometric & Face Recognition

  • Does Fareclock use facial recognition or other biometric technology? Fareclock may collect and process face recognition data if your employer enables this feature.
  • How is facial or biometric data used? Facial data is used only to verify identity during clock‑in and clock‑out when the feature is enabled.
  • Who can access my facial recognition data? Only authorized organization administrators within your employer’s Fareclock account can access biometric data.
  • How long is facial or biometric data retained? By default, biometric reference data may be retained for up to one year, unless deleted earlier by an administrator.
  • Can I opt out of facial recognition? This depends on your employer’s settings. If your organization requires face recognition for attendance, opting out will affect your ability to clock in/out for attendance.
  • Is my biometric data shared with anyone outside my employer? Fareclock does not sell or share biometric information with third parties for marketing purposes. Subprocessors may access data only as needed to provide the service, under strict agreements.
  • Is facial data encrypted? Facial images used for identity verification are encrypted and stored securely.
  • Can I request deletion of my biometric data? Yes, you can request deletion of your biometric data, but the request must be submitted through your supervisor or authorized administrator.
  • What happens if the facial recognition system fails to verify me? If facial recognition cannot verify you, you won’t be able to clock in/out using that method; your organization may provide alternate verification options such as a PIN, manual override, or administrator assistance.

Employee Rights & Transparency

  • What rights do I have regarding my personal data? You have rights under applicable privacy laws (e.g., GDPR) including:
    • Right to confirmation – verify whether your personal data is being processed.
    • Right of access – see the personal data Fareclock holds about you.
    • Right to rectification – correct inaccurate or incomplete data.
    • Right to erasure – request deletion of personal data (subject to legal/contractual obligations).
    • Right to object – oppose certain processing (e.g., marketing, location, or biometric tracking where applicable).
    • Right to data portability – request a copy of your data in a structured, machine-readable format.
  • Can I request access to my personal data collected through Fareclock? Yes, you can request access to all personal data your employer holds about you in Fareclock, but this must be properly coursed through your employer.
  • Can I request correction or deletion of my personal data?
    • Correction/rectification – if your data is inaccurate or incomplete.
    • Deletion/erasure – Your employer can delete your personal data on Fareclock, subject to legal or contractual retention obligations. Biometric data can also be deleted by authorized administrators.
  • How do I submit a request about my data? Contact your employer or supervisor, as they are the data controller and manage your information in Fareclock.
  • Can I withdraw consent for specific data processing? Yes, where consent is the legal basis for processing (e.g., optional biometric or location tracking). Note that withdrawal may affect your ability to use features like clock-in/clock-out.
  • Can I object to location or biometric tracking? If your employer enables facial recognition or GPS tracking, you may object. The employer decides whether you can opt out or if alternatives exist.

Security & Protection

  • How does Fareclock protect my personal and biometric data? Data in transit and at rest is encrypted via industry-standard methods (SSL/TLS and cloud storage encryption).
  • Are my time, location, and biometric data encrypted? All sensitive personal information — including time records, GPS/location data, and biometric data — is encrypted both in transit and at rest on the Google Cloud Platform.
  • What happens if there is a security incident affecting my data? Fareclock will promptly notify your employer if a personal data breach occurs and is likely to impact user privacy or security. We take steps to contain, remediate, and prevent further unauthorized access, in accordance with applicable data protection laws.
  • Who has access to my personal data internally? Authorized administrators within your organization have access based on their role permissions, while workers can only view the data available to them in the Fareclock mobile app.
  • How often does Fareclock review its security practices? Fareclock performs regular penetration tests and security audits through external specialists. We continuously monitor systems for vulnerabilities and implement remediation as needed.
  • Are employees of Fareclock trained on data protection? Fareclock employees accessing personal data are required to follow internal security and privacy protocols, and access is granted only for specific job functions.
  • Does Fareclock monitor unauthorized access? Fareclock tracks login attempts, administrative changes, and unusual activity. Alerts are generated for suspicious events, spoofing attempts, or unusual device usage.
  • Can I report a security concern about my data? You can contact Fareclock at privacy@fareclock.com
  • Is there multi-factor authentication (MFA) for accessing my data? MFA is available and recommended for administrator accounts, and can be configured by your employer. This adds a second layer of security for administrators accessing your personal data.
  • How is my data separated from other employees in the system? Each worker’s data is logically separated within the system and protected through role-based administrative access controls to prevent unauthorized access.

Subprocessors & Third Parties

  • Does Fareclock share worker data with any third parties? Fareclock does not sell or share worker data for marketing purposes. Data may be shared only with authorized subprocessors that help deliver our services like cloud hosting, SMS/email delivery, analytics, or billing.
  • Which subprocessors may process worker data? The full list of Fareclock’s subprocessors is available on the Subprocessors List Page.
  • Can I object to the use of a subprocessor? If your employer objects to a new or replacement subprocessor on data protection grounds, they have 30 days from notice to submit an objection to Fareclock. Fareclock will use commercially reasonable efforts to address the objection. If a resolution is not possible, your employer may terminate their Fareclock subscription as the sole remedy.
  • How does Fareclock ensure subprocessors protect my data? All subprocessors are contractually required to meet data protection standards at least as strict as Fareclock’s, and Fareclock remains responsible for their compliance with the DPA and applicable privacy laws.
  • Are subprocessors located outside my country? Yes, many subprocessors, such as cloud providers, operate internationally. Fareclock ensures all cross-border data transfers comply with frameworks like the EU-U.S. Data Privacy Framework (DPF).
  • Can a subprocessor use my data for its own purposes? Subprocessors are only allowed to use personal data for providing their contracted services to Fareclock. They are prohibited from processing your data for their own purposes.
  • How often is the subprocessor list updated? Fareclock updates the Subprocessor List periodically whenever a new subprocessor is added or an existing one is replaced. The list is maintained to reflect the current set of subprocessors.
  • How are new subprocessors communicated to users? Notifications are sent via email, in-product alerts, or the Subprocessor List online is updated, allowing customers to review and raise objections if needed.

Device & App Permissions

  • Does Fareclock log my device type, browser, or IP address? Yes, Fareclock may collect these data to help operate its services, troubleshoot issues, maintain security, and improve performance.
  • Can Fareclock see my personal communications or files on my device? No, Fareclock does not access your personal communications, apps, or files in your personal device.
  • Does Fareclock monitor workers outside of work hours? Fareclock is not a surveillance tool and does not monitor workers outside of work hours; it only collects work-related data necessary to support your employer’s use of the platform.
  • How does Fareclock ensure my privacy while verifying my work? Fareclock applies security and privacy safeguards when handling personal data.
  • What permissions does the Fareclock mobile app require?
    • Location access – for clock-in/clock-out verification if geolocation tracking is enabled.
    • Device information – device type, OS version, and app usage for security and troubleshooting.
    • Notifications – to send service alerts, updates, and reminders.
    • Optional permissions may include camera access if facial recognition is enabled for biometric clock-ins.
  • Can I remove or change app permissions without losing functionality? Some permissions are essential — like location for clock-ins and camera for biometric verification — while others, such as notifications or optional device info, can usually be disabled without affecting core functionality, though some alerts or security features may be reduced.
  • Does the app collect information when it’s not running? Generally no, except: Background location may be collected only if live location tracking is enabled during shifts. Device-level security or system logs may be collected passively for fraud prevention.
  • How do I control notifications from the app? Through the device’s notification settings for the Fareclock app. In-app settings may also allow opt-in/out for service-related alerts, depending on your organization’s configuration.
  • What happens if I uninstall the app? You will lose mobile access, including mobile clock-ins, push notifications, biometric verification via your device. Data already submitted (time records, biometric data, location logs) remains in the system under your employer’s account.
  • How do app updates affect my data or privacy settings? Updates do not delete or automatically share your personal data. Privacy and app permission settings are generally retained after updates, but you may be prompted to reconfirm permissions (like location or camera) after certain updates. Security patches enhance protection for device and data integrity.

General Transparency

  • Does Fareclock make automated decisions about my work or employment? Fareclock provides tools for time tracking, scheduling, and payroll, but does not make employment decisions.
  • Who do I contact if I have privacy or security concerns about my data? You can contact Fareclock at privacy@fareclock.com. For urgent security concerns, you may also notify your employer/administrator, since they control access to your data.
  • Where can I learn more about Fareclock’s general privacy practices? Fareclock’s Privacy Policy includes details on data collection, use, retention, security, and rights.
  • Does Fareclock monitor my device for malware or security issues? Fareclock does not scan your device for malware. The app only collects device info (device type, OS version, rooted status, etc.) to prevent fraud and unauthorized access.
  • Can I see audit logs of my own data access? Access to audit logs is typically restricted to authorized administrators only via the administrator console.
  • How does Fareclock respond to government or legal requests for my data? Fareclock may disclose personal data if required by law, court order, or public authority request. Only the minimum necessary data is provided, and disclosures are done in accordance with applicable law.
  • Can I receive updates about changes to worker privacy features? Fareclock may notify your employer about any changes made regarding worker privacy through the service platform notifications or emails. You can also periodically review the Privacy Policy for updates.
  • How does Fareclock handle data if my employer changes software providers? Data is controlled by your employer, not Fareclock. If your employer switches platforms, they determine whether data is exported, deleted, or transferred. Fareclock will delete associated data within 30 days after account closure, unless retention is required by law.
  • Who ensures Fareclock complies with privacy regulations for workers? Fareclock has internal data protection practices and DPA obligations. Compliance is supported by: Certification under EU-U.S. Data Privacy Framework (EU-U.S. DPF); Adherence to GDPR, privacy laws, and data security standards; Regular audits, penetration tests, and security assessments.
